What is the Badge No.?

    Good Morning,

    Can someone please educate me on what this badge number and what it's tied to?

    It isn't our local badge numbers that we wear for meetings (and I've never understood why) so I also assumed it was an RI thing but I would like to actually use this space for our own badge numbers.

    I use it for our club badge numbers. It is for clubs that use electronic badges I believe. But it works as a useful field for the Club badge numbers.

    Hello Jenna,

    Thank you for posting!

    The "Badge No." (Badge Number) field that is listed within member profiles is used alongside with the Barcode Scanner module to track meeting attendance. The number that is entered is automatically generated by ClubRunner, though, you can update these numbers to use your club's own badge numbers if you see fit.

    However, it is important to note that after updating a member's badge number, their previous badge number will become invalid. This means that any unprocessed attendance data that is using the old badge number will not mark the member as attended after it has been imported. For this reason, I recommend importing any remaining attendance date before updating your member's badge numbers.

    Michael -

    We have used this field for years and no one ever mentioned keeping a record of the member's badge number. So with that said, I now have no record of this. This most likely does not matter since we do not use the scanner. Am I correct in my assessment?

    Hi Cheryl,

    Yes - This field is only used with the Barcode Scanner module.

    If your club does not make use of the module, updating the Badge No. field will not affect your account. The situation I outlined in my previous post will only come up if the barcode scanner module had previously been used to track attendance and is imported to the attendance module after the badge number has been updated.

    Thanks for your reply, Michael. So it would be safe to assume that due to COVID since we haven't met in person, henced not used our bar code scanner - so all scanned attendance data has long been inputted.

    I just want to make sure I understand correctly - so if I were to update all the badge numbers in Clubrunner I would then need to reprint all of the scan codes for the back of our member's badges. Considering I'll need to do a complete cleanout of our badges whenever we do get to meet in person again this isn't undoable but does the badge scanner have a min requirement on how many numbers long it needs to be?

    Hi Jenna,

    You are correct - after updating all of the badge numbers, the barcodes will need to be reprinted and replace the previous barcodes for your member's badges.

    There is no minimum requirement as to how long the badge number needs to be, as long as there is at least one number, with the exception of a leading 0. At this time, the Barcode Module does not support badge numbers leading with 0 (eg. 048212, or 044905)

    However, you will want to ensure that each badge number is unique and is not shared between multiple club members, as the badge number itself allows for the system to identify the individual member.

    Additionally, while there is no minimum limit within ClubRunner, it is important to note the limitations of your Barcode Scanner itself and should check with your scanners manual before updating any numbers.

    While updating your club's badge numbers, I also recommend testing them as you perform the updates by:
    • Backing up the old barcode numbers
    • Update a few member's numbers to the new scheme
    • Generate and printing their barcodes
    • Test scanning them with your scanner
    • Test importing them into ClubRunner
    If theses tests are successful, then you can continue with updating the rest of your club.
