HI, as a Club Secretary, we are the default Club historians. But there is no guide to establishing a Club history program. As a Past President, I have tons of my files in my Dropbox. There is stuff in ClubRunner. Other Presidents and other secretaries have stuff in pre-computer days, shoe boxes, and who-knows-where. In our District, we have 27 clubs with 27 different ways of compiling club history.

Ive searched ClubRunner, Rotary.org, online and this site with no success.

Does RI or anyone have a template or set of procedures for establishing a Club history program?

    Hello Louis,

My apologies for this delayed reply, and thank you for sharing this question regarding historical Club documents.

Documents can be uploaded and referenced to the Club site in the 'Private Documents' module. When uploading a document, it can be assigned an 'Access Level' of either 'Public' or 'Member Login Required.'

To review how to upload documents to the Club site, as well as how to organize them within folders in the Documents module, please see this article from the ClubRunner Knowledge Base:
    https://www.clubrunnersupport.com/article/922-how-to-manage-club-documents-in-clubrunner

After uploading any document, you can add a link to this document within ClubRunner. Please see this article:
    https://www.clubrunnersupport.com/article/791-how-do-i-add-a-link

Another option would be to create a private committee, and then upload these documents into the committee. This method restricts access even further, as only members of the private committee, site administrators, and club executives would be able to view these documents.

To create a Private committee, please see this article on how to create committees in ClubRunner and check the 'Private' checkbox in step 5 of the guide:
    https://www.clubrunnersupport.com/article/1091-how-do-i-create-a-new-committee

To upload the documents to the private committee after it has been created, please see this article on the Knowledge Base:
    https://www.clubrunnersupport.com/article/1094-how-do-i-add-committee-documents

I hope this information helps the club with storing these documents, and please let us know if you have any feedback!

The Rotary Club of Dryden has established an archive of everything we do in terms of all the steps in an event or procedure etc. I could set you up for a conversation with our current club secretary. He did it when he was president. I'm not sure that is what you are looking for. Another source might be the Rotary Global History Fellowship Group https://www.rghfhome.org/
