Meeting Online? Share your link, securely!

    As more and more clubs shift to online meetings, the common question arises - how can we publicize our virtual meetings, and share our link securely?

    Now, you can do just that, right through the recently enhanced Club Info widget, built into your website and bulletin. Best of all, the Club Directory on your district website will update automatically to showcase that your club meets online.

    Worried about security? We’ve got you covered! Your online meeting details will remain private and will only be accessible to District members upon logging in. This means you can share your meeting password with ease without having to worry about unwanted guests or meeting crashers.

    Want to promote the public meeting link? Within the public notes section, you have the ability to add your link for non-members to view as well.

    Our Club has two different meeting times, with two different URLs. Have you provided any support for that situation?

    Also, we are moving toward hybrid meetings, where half the attendees are in the meeting room and half are on Zoom. So "Our club meets online" becomes more than a binary question. What do you recommend we do in that situation?

    The Rotary Club of Elizabethtown, PA has two meetings each week at different times and locations (in-person, or virtual) and this is an issue for us, as well. CR needs to allow us to equally advertise MULTIPLE meetings with Day, Time and Location.

    Any solution yet to two meetings and.or hybrid (in-person and online)? Really would like this option to be both. Don't restrict us.

    Is there a specific tutorial to set this up? I'm new to Clubrunner. I see a "meeting information" widget but not a "club info" widget in my Web Designer view.

    Hello Everyone,

    Thank you for sharing your questions on the community.

    On the Club Info & Settings page, the Club meeting information can be set to include multiple public meeting times in the 'Meeting Comments' box and private meetings in the 'Private Details' online meeting section.

    Further, the 'Online Meeting' information is displayed in addition to the in-person meeting information, so both the in-person meeting time and location are available, as well as the online meeting link. For a review of how to edit the Club Information and meeting details, please see the 'How to change the Meeting Information' section of this article on the ClubRunner Knowledge base:

    When entering Club information in the 'Edit Meetings' dialog on the Club Info page, the Club can enter additional meeting information in the 'Meeting Comments' section.

    For private attendance instructions or meeting links, these can be included in the 'Private Details' section of the 'Online Meetings'. These private details only appear in the 'Club Information' widget to members whom are logged into the Club site.

    Once this meeting information is set, the Club can place the 'Meeting Information' widget in the 'Essentials' widget grouping of the Live Designer on the home page, or existing custom page to view the meeting information.

    For the meeting information:
    • You have to select a SINGLE day and SINGLE time for the meetings
    • You have to set an address and city for the meeting location, even if you say "meets online"
    Thank you for letting us include multiple lines of meeting information both public and private, but it's a shame that the end-of-lines are lost and everything is mashed together.

    I also notice that there is no "private details" section for events, which is typically where people would look for Zoom details.

    My club is only meeting online for now, but there is no way to "turn off" the physical meeting information, which seems to come from the District. Honestly, this should be under OUR control, not theirs.

    Hello Carl and Dennis,

    Thank you for sharing this feedback in regards to setting a single date and location for the 'Meeting Information' using the menu.

    Please note, the location information for the Club meeting dialog is used in the RI integration to send Rotary Club address data for the Club Finder application. This is why there are fields for a 'Primary' meeting location, and all other meeting information can be entered into the 'Meeting Comments' or 'Private Details' sections.

    With this in mind, I have shared this feedback with our product team to review for ways to enter more detail about meetings, whether they are online or offline, and the time and location information.

    I have also submitted a separate feedback report in regards to 'Private Event' details suggestion, that would only be visible to members who are logged in and view the Club's Events from the Upcoming Events widget or Club Calendar pages.

    Please know, we are always making changes to ClubRunner and are receptive to suggestions from our users. We do receive many suggestions and our product team will review this feedback. Please note, I would not be able to say for certain when or if these suggestions would be implemented.

    Please let us know if you have more feedback while using the Meeting Information page to post the Club meeting details, or if you have more questions.

    I think the Club Info possibility to add digital meetings is good, but only one step forward. As the meeting details (the log in to the meeting application) can differ from week to week, the proper place to add it is in the events section. Here it would be nice if the log in details would show up in the events widget for logged in district members.

    I totally agree Mats. In Australia, things change almost weekly. We can never be sure whether we are meeting in person or on zoom, The best place to publicize where or how we are meeting is in the event itself. Especially when members have sync'd their calendar.
    Currently, I replace the address info with the word "Zoom". It would be nice to be able to incorporate zoom meeting info a little smarter in here.
    To satisfy hybrid problem, have 3 choices: Zoom only, Address only, Both.
    The Zoom option could link to a page containing the zoom info - which can be public or members only.
    Incidentally, as a Club, we make public our Zoom meeting info which is always the same, just as we do our physical meeting info. We welcome visitors to join us. We have never had a problem with unwanted guests on Zoom.

    The idea of having three options would be wonderful!! We too publish our zoom info on our home page, We maintain a waiting room too. If an unwanted guest comes in, we are prepared to remove him/her also. I DO NOT recommend putting your login and link/password on social media - that has caused issues for many and resulted in zoom bombs.

    We started making our Zoom numbers public on ClubRunner - no login required. We do NOT put it on meetup.com or Facebook. So far so good! We're not using a waiting room, as that gets in the way when you can't require a single administrator to already be logged in to Zoom. We have multiple people running various meetings. I also don't want this to be more complicated for people to manage than it needs to be.

    I automatically record our regular club meetings, and our Board meetings. The other meetings require someone to take host control and hit the Record button.
