    Hi Friends,

I am posting flyers to share with our community. Most are about a specific happening. One we don't want on our club event calendar. Some are pdf's and some are either site pages or custom pages. Is there a way to have the pdf, site page or custom page or a page name I'm overlooking to automatically deactivate itself after a specific date?

This would save my memory and much time not to have to remember to do it.

    Thank you,
    Barb

    Hi Barb,

There is no feature at this time to automatically remove content from the website at a set date. I will say that historical information about past events are not a bad thing, and having a rich history of content on the website helps for search engine presence as well.

I think the most important thing is to make sure that you flag the content with the relevant dates as part of the title of the content and or within the content itself.

Can you let me know the specific concern you have about it being available after the event has passed?

    Hello Zach,
Thank you for the reply. Sorry to hear the feature I would like to have isn't available. Maybe it can be added to a list for future consideration.

As you mentioned, I'm not looking to remove historical information. I'm looking to remove a post we do not want on the event page.

    Example: https://walnutgroverotary.org/page/laguna-sunrise-annual-clothing-drive
Example: just had an art show for our local search and rescue team. It ended 10-19-2020. I had to delete it. Why can't I archive it? I know questions will come up.

This event we are courtesy posting for another club needs to be removed on October 10, 2020. I want to set the post with an END DATE and have it archive on that date. The concern is to have a record for our club. Often, there is discussion about past events and the who, what, where, and when of it all.

    Thank you,
    Barb

That page and its content is now information about an event in the past. I guess I don't understand the need or want to to remove the content from the website in the first place?

Why wouldn't you want the flyer for the event to continue to be accessible? That is the part I am struggling with :)

Thank you Zach for the questions. Our Board approves/disapproves content on our website.

Example: A page is posted, then a Board member finds out we can't have the flyer up for some reason, so I remove the flyer. Then the Board receives permission to repost the flyer. Yet it is gone.

Example: My original question was, "Is there a way to have the pdf, site page or custom page or a page name I'm overlooking to automatically deactivate itself after a specific date?" The reason is simple. Then I don't have to remember to do it and there is no outdated information showing.

    Hi Barb,

    Thank you for following up.

The reason I am quite confused, is that a best practice for most websites is to leave historical information intact. These past events are valuable history for the club, increase the content that is available on the club's website, and helps increase their presence for people trying to find information about the club. As an example: A potential member may want to review the club's event history to see what sort of activities the club offers. But if there are no details because they've all be removed, they may decide to look for another club in their area that does have that information available publicly.

At the end of the day however, how the club wants their website and its content displayed is 100% up to them! I have passed on your feedback that you would like automatic ways to ensure website content is published and un-published on schedules to help fit the club's workflow.

Zach, I concur with your suggestions. We began using ClubRunner 10 years ago. My main topic for the website was what happened at a club meeting. Now 10 years later we have over 600 "stories", which is a great cross-section of everything we do. I term the menu title "Story Archive" because it is indeed a history of the past 10 years.

Last year the president asked me to do a PowerPoint presentation for her to use. I pulled it together from those archives. It is available at https://www.slideshare.net/noronwe/people-of-action-rotary-club-of-dryden-on-canada. This year I have taken slides and modified them under the titles https://www.slideshare.net/noronwe/fellowship-opportunities-rotary-club-of-dryden-on-canada and https://www.slideshare.net/noronwe/volunteer-opportunities-rotary-club-of-dryden-on-canada all three now part of our membership success home page.

Those 600 stories also increase your number of page views because it is amazing what Google finds when inquiries are made.
