Form for new prospective members

    Two suggestions here:
    • Allow us to determine which of the fields in the form should be required
    • Allow us to have a "short form" with just the basics so that a real person can meet with the prospect and pull out the other data. This is a social organization and to force it to be only digital is not always the best choice.

    Hi Doug, sorry we were not able to follow up with this yesterday.

    I've passed that feedback onto our Product team for their review. This is something that did come up early in our discussions and for the initial beta we do not have these options. No ETA on when or if this will become available for users to directly configure. For a small change (eg: making one or two of the fields required) this is something we would likely be able to carry out. For bigger more complex changes to the form that would fall under professional services. If you're interested in either, let us know and we'll take it from there.

    Not part of the beta currently is a shorter form that is a member suggestion form. It was part of the webinar demo, and I know we'll be working on getting that out to the beta testers at some point in the near future. If anything changes on this front we'll make sure to let you know.

    I also feel that the form is quite long for expressing interest in joining. It seems similar to an application form. It seems to me at this stage in the funnel we are just trying to get them to express enough interest to get on our prospect list for follow ups in email and invitations to meetings and projects. We want to make that fairly easy for prospects. If we can gather more info upfront, that is great, but some of it could also be gathered after emailing or meeting them.

    If we cannot tailor for each club which fields are required, perhaps the form could be simplified some more to show a section of required info and then a section of optional info?

    The form now only has a very limited amount of information required:
    • First Name
    • Last Name
    • Email
    • Opt In for Email communication

    Now that you point that out, I do see the asterisks next to those fields. Thanks for the clarification. Maybe it could be clarified more for the user by adding a legend that shows the * means required so people see that most of it is optional, but helpful?

    I just ran a test with myself filling out the form. I understood this to be a membership inquiry/interest form for prospective members. We have people who express interest in joining, come to a meeting or project, talk to club members, and then decide whether or not to pursue an application to join after they get more insight and information. But the first automated email (delivered to my Spam folder) I get back from the membership inquiry form says,

    "Hello Ted,


    Thank you for your application request to join the Rotary Club of Poipu Beach, Kauai! Our club greatly values your interest. We will be reviewing your application and will be in touch with more information.

    Should you have any questions, please do not hesitate to contact us via email.

    Sincerely,...."

    If I am truly a prospect, it seems to me I am not submitting an "application request" based on the information on the website. I am submitting that I am interesting in joining and willing for the club to provide me with more insight and information. This is just the start of the funnel for the sales process from my perspective. "Application" seems like a strong word to me at this stage in the funnel.

    You can customize that email in the email templates area. If you have any issues identifying which email you need to modify please do let me know!

    While you do not have direct control of the cadence of the emails being sent out, you can control their content. :)

    FYI... One of our guests said they found the message in their spam folder. Is there any way to avoid our emails being forwarded to the spam folder?

    Awesome! let us know how it works out.

    All emails in ClubRunner come from mailservice@clubrunner.ca and we do everything we possibly can to make sure that these emails are delivered to people without serious issues. However since we do not have any control over the receiving email services, we really are unable to make further changes to ensure emails go into the inbox. If there was some magic way to make it happen, spammers would probably be ruining our lives :( I hope that makes sense on that front.
