Membership Success Admin

    We would like to start testing MS but have some questions.
    • We have a large club, and a robust membership committee with 2 co-chairs.
    • We would like to have both chairs be "recipients" and be able to view the module.
    Q - Can we have more than one person notified of new prospects, applicants, changes, etc.?
    Q - Are there clubs out there successfully using MS with multiple "users" involved?
    Q - Is MS technically out of the beta stage?
    Q - Any insight, advice, recommendations for starting out?

    Hi Rod, We started using it live a couple of months ago. It is production as of last October. That question about teams has come up before. That's where this package shines. Using Prospect Notes you have a complete log of all interactions, emails, phones, calls, discussions, club visits etc, The setup profile in MS only allows one email address for the recipient. For now, your only option is to use a generic email address and use email forwarding outside of ClubRunner. Many email providers offer forwarding or even email forwarding lists. e.g. We use Gmail and it is easy to setup a generic club email (you can even use 'plus addressing' in the generic address to automatically tag or file the email in a specific folder). Gmail allows forwarding to many addresses. Go to Settings > Forwarding/Pop Imap and add forwarding address. The recipient on your team will receive an email accepting and allowing forwarding. We added the entire team. ClubRunner offers a few forwarding emails, but it is intended for one on one forwarding like President@ yourclub.org > me@aol.com Your next problem is team communication so only one person responds. The first thing I did was study the workflow through the system. Study the email templates and figure out which ones go to out to prospects and which ones are automatically fired off without you sending. We turned off drip campaigns for now, until we understand everything. I renamed a few for easier identification. I wrote a 'Let's Reconnect' template for old inquiries. And it worked last week. You will want to customize and add your club logo at least. We rewrote some of the templates and wrote one or two new ones. Since as soon as your Prospect inquires, it automatically fires off the template for TY for your 'application'. We changed the wording to say 'inquiry' instead (we'll get right back to you) Then we wrote a new template to be sent manually which allows answering their questions on the inquiry, inviting them to a meeting with specific details. We found that more efficient and accurate. You can backload prospects by 'referring them in' already in talks and back date their note activity. Just remember referring sends them the TY for your inquiry memo. We have seen more inquiries since implanting. Don't forget to setup the default new member email template, I didn't know it existed.     I should have said, referring sends out the You have been referred for membership by memo immediately.
