Generic eMail Addresses for Club Executives

    To preserve email address confidentially and to avoid the necessity to change addresses on club brochures, forms and with local government and third parties every year when executives change, Kenmore Rotary has created generic email addresses for president, treasurer, secretary, webmaster, etc. These are linked to executives' email addresses recorded in ClubRunner.

    These email addresses are used by the community outside of Kenmore Rotary. They are used to communicate to Club Executives principally. They are not used by Executives to send emails to third parties.

    An email to say webmaster@rotarykenmore.org will be forwarded by VentraIP to jrdtn44@bigpond.com being the member’s email address in CR. The reply, if required will go out under his/her private email address. No Inbox is required in CR only the ability to forward the generic email to an executive's Inbox in Outlook, Gmail, etc.

    Kenmore Rotary is suggesting this functionality would be most useful to all Clubs and suggests ClubRunner consider this functionality in a future upgrade.

    Hi Jim,

    This is a great question and something I can confirm that we do currently offer through our managed domains program. All customers who have a managed domain can get up to 5 forwarded email addresses at no additional cost. However, this email forwarding option is only available if there is not another email system connected, you wouldn't be able to use the ClubRunner email forwarding service and a full fledged email subscription like Office 365. It would have to either be the ClubRunner email forwarding service, or the external service.

    We’re looking into what options we have available to open this to non-managed domain customers, but nothing set in stone. I appreciate you taking the time to share that your club is looking for this functionality.

    One of the advantages of our managed domain services is that we understand that our customers, Rotary and our other service organizations, are not the same as a business. In 5 years when the domain is coming up for renewal, the question should be posed to the current officers, not the person who originally purchased the domain name. Should we not receive a response from the officers, we’ll also reach out upwards where possible, for example with our Rotary clubs we’ll reach out to their AG and Governor, if the club is not responding to the domain renewal emails, on top of direct phone calls to the club. Most domain services will only deal with the original registrant, and only send email reminders for domain renewals. It gives a lot of opportunity for the domain to get lost, which we strive to help overcome as part of our managed services.

    Hi Zach
    Can you perhaps pass this to the sales Team. I would be interested in the cost of the managed domain service. I would like to propose to my Board that the Club moves from our domain being managed by VentraIP to ClubRunner and pick up the 5 forwarded email addresses. I believe just having a relationship with CR is preferable to dealing with several suppliers. I am aware we are paying you US$35 per year for managing the domain externally.

    I’ll have a member of the team reach out to you shortly to continue this domain conversation. A nice bonus here is that the 35 dollar per year SSL fee is also waived when we manage the domain on the club’s behalf, as its inclusive to our domain registration costs.

    If we manage the domain on behalf of your club, you can contact the support team (support@clubrunner.ca or https://www.clubrunnersupport.com/new-ticket) and request that your email forwarding be setup, or re-configured. There is not a specific place within ClubRunner to manage forward emails, at least as of today.

    I'll have a member of the team reach out to get this started for your club.
