CONTACT MANAGEMENT: Merge

    Please, please, please: tell me there is an easier way to merge duplicate contacts... I am trying to do this in the merge function and:

    1. it resets the list every time (number of contacts selected to display)
    2. filter contact list resets as well
    3. after merging contacts, I cannot select more contacts to merge
    4. I cannot merge duplicate contacts of "inactive."
    5. Randomly, the merge button will become unavailable. Even when multiple contacts are selected in the filtered list.
    This process is way too painful. I am thinking about exporting all, deleting all duplicates, and importing the ones that I want. This is a last resort, but I do not have HOURS to spend on this process. In doing this, I will have to make the decision to loose ALL communication history.

    SUGGESTION: Have one contact list that has buttons that allow various activities: 1) delete, 2) edit, 3) merge

    Hi David,

    Thank you for sharing your issues you’ve run into with ClubRunner using the contacts module.

    The contacts module allows you to merge most any contact records together, but there are some catches. Some of the contacts in your database are from the membership lists itself, including the other and inactive member lists. This is why sometimes the merge button is not available, you’re likely trying to tie two membership connected contact records together which is not allowed.

    This connection to the membership record is why you cannot delete or merge some contacts into each other. You can only merge contacts together that only have one membership record connected to them, or no membership records connected. That means you can merge 5 duplicated bob smiths together as long as they don’t have the membership tags. When you select an inactive membership record, you can merge as many non-member connected contacts. But if one other contact record has a membership connection, the merge option won’t be available. Contacts with the group tags of “Member”, “Other User”, or “Inactive Members” identify that they’re linked to a membership record.

    This is part of the reason we have the new database for Nova that relies on only a single record type, instead of multiple records split between multiple modules. Under Nova, if you have a non-member person record, you will be able to include them into the Membership Success program, or just migrate them to an active member of the club.
