Canceling Upcoming Events

    You might get the urge to simply delete your now canceled upcoming events. If you are not able to convert your event into a virtual event and indeed want to cancel it, we suggest setting them to be in a canceled state. We have a few options on how to accomplish this for each module.

    Event Planner

    Consider the following options instead of deleting your event planner events:
    • Update its Title & Description to show that it is canceled.
    • Update the event settings so it will not show on the Calendar, Events List, and Upcoming Events Widgets.
    • Update the status of the event to be set to draft so its not visible to non-members at all
    These options help to leave the event in place so you have its history, and keep the registration data if any for the future.

    Before you do make changes to your event, use the email functions in the event module to let anyone who has signed up, or the club membership know that the event is canceled.

    Once your event has more than 5 registrations, you will be unable to delete it. You should consider the following options to cancel your MyEventRunner event:
    • Update the Disable Form on Date to a date in the past.
    • Update the Header to include information on why the event is canceled.
    • Update the Settings to hide the event on the Calendar, Events List, and Upcoming Events Widgets.

    Before canceling registrations and processing refunds, we also recommend sending an email to the persons who have registered so that they know the event is canceled and how they should expect a refund.

    If your speaker’s event has been canceled, we would highly recommend updating the Speaker entry by editing it and updating its details to let people know it is canceled. You can also delete the speaker if you would prefer.

    Calendar Items

    Unlike the Event Planner, and MyEventRunner modules, there are no signups or email functions for Calendar Items. We can however change the title, hide the event from showing on the website and we can also delete it if required. If only some of your Calendar Items are canceled in a recurring series, you can also remove just the canceled events.
