Disappointed with Recruiting support

    I am very disappointed with your support of recruiting new Rotarians. The closest capability I could find in ClubRunner was a contact management list. Did I miss something? Rotary Clubs are losing members on average at 15% per year. It might be the most important thing we do for the survival of a club.
    Even the Contact Management list you offer is restricted on how many contacts you may have. I took a look at DACdb to see what they offer. I was shocked. They have their act together, with a complete recruitment onboarding pipeline process. Anyone with access can tell exactly where a candidate stands, who talked to them and what was discussed. I won't even mention their complete financial reporting system. With 34000 clubs out there this must be a common need for us all and not unlike a Sales team management system. Gone are the days of a membership person, we have membership teams now. And these teams need tools to communicate and manage prospects. I feel for the money we pay for these club services, we are missing a lot and sadly missing the mark. Managing your club members with C/R is great but that clearly is NOT enough. If I have missed something here, please point me in the right direction.

    Update.. I found the Membership Success item in Clubrunner. It is not a full CRM for sure. The communications seems to be oriented towards recruiting members through email campaigns. I don't believe anyone actually ever joined Rotary through an email campaign. But rather actual conversations and more likely face to face conversations. Sending off recruitment email in hopes someone will respond I think is just wishing. We need a CRM so that we can log every touchpoint (conversation) with a prospect. Reading through articles now since I can't find training video yet. Is there training somewhere?

    Hi Mark,

    I'm glad to hear you found the membership success module, and were able to see some use for it.

    Once you've entered a prospect into the membership success module, or they have added themselves, you can log any and all interactions via the note log as part of that's prospects files. Emails are just one way to keep connected, and the automated emails are only one aspect intended to help engage with prospective members. The goal for the module is to have a workflow that allows you to track the prospect from the first steps, up until they join.

    Given your warning about email defaults, I am a little afraid to begin entering candidates into the system for fear the automated system will start emailing them without my knowledge. Thanks for responding. I will look at the notes log. We need to keep discrete touch transactions as a journal. So I will read about it. Thanks

    When you setup the module, you can disable the automation tasks that run to send those emails out! No need to use them at all, if you're not interested.

    Is it possible to have someone walk me through configuring it?
    In the first step, the profile field configuration is confusing, I am not sure what you are looking for. For example, the first one... 'From the Club' Description says 'The name of the club with the Membership Success Chair's email'. The description appears to describe the name of the club but the configurable variable field is an email address? What does 'with the Membership Success Chairs email, mean? I assume you don't want a personal email but rather a club email? I have numerous similar questions, rather than set it up wrong. I gather you are looking to substitute changeme@sink.sendgrid.net. What will appear in those variable fields Sender $ACCOUNT_FULL_NAME$? Thank you.

    This sender profile is used to send emails to any of the prospects, whenever they are interacting with the system. For example when they fill out the first inquiry form, they will be sent a thank you for applying email, and it uses this profiles details to send the email. We're basically making sure that all emails that come from the Membership Success module to prospects will use this address.

    This is 100% up to the club, its whatever email address the club feels comfortable with using for this task. Some clubs will setup shared google accounts, or use their email services, or even a forwarding email account to receive any responses sent to the address. The important part though, is this address is the reply-to address for any outgoing emails from the module. So if a prospect replies to this email, it should come to them.


    Yes, you should update the changeme@sink.sendgrid.net address. The $ACCOUNT_FULL_NAME$ will be the club's account full name from the club information page. For our Rotary clubs, it tends to be something like "Rotary club of XYZ". You can change this to just text if you prefer, we use the merge field so it properly populates the accounts name in the module, regardless of if it changes.
