Dues Invoices - Import to Quickbooks

    What is the best practice around creating Dues Invoices in ClubRunner and importing the Invoices and Credit Card Payments received in ClubRunner into Quickbooks?

    If the Member Name in ClubRunner matches the Customer Name in Quickbooks, does the import work with no manual intervention? If a Member name in ClubRunner isn't in Quickbooks, what happens to the Invoice when it gets imported into Quickbooks?

    Hi Earl,

    Thanks for the questions, we don't make a huge amount of use of Quickbooks here in the office, but I will share my feedback from other customers.

    Regarding names, if the names match between both systems, it should merge into the record already in Quickbooks. If there is no match then it would create a new user record, at which time you would want to merge them together. Typically if there is a name mismatch its due to ClubRunner having a nick name vs Quickbooks having the full name. Sorting that out between the two systems by updating the name in Quickbooks post merge should solve that for future imports. If there was no user record, my understanding is that it just creates a new one and tracks that information moving forward.

    I hope someone else who is using quickbooks with their clubs information will be able to share with a greater level of details for you.

    Before doing your first import of ClubRunner data i would suggest making sure you have a backup just in case anything goes wrong.
