Engaging Members Who Missed a Meeting

    Hi,

    A suggestion I would like to throw out there... after the attendance from a meeting has been updated we have someone pull the emails for members who did not attend that particular meeting. They compose an overview email of what took place and brief information about plans for the next meeting. The intention with the email is to engage those members to come next week and participate in the club meeting. If they are traveling then it helps provide them with an update of what they missed and reminds them about taking an opportunity to do a make up at another club...hence keeping them engaged.

    As it is cumbersome to run through the list with a club of 99 members and pull their emails out individually it would make life easier if there was an option in ClubRunner to email members who didn't attend. Similar to how emailing members within an event based on registration status works, it would be nice to have the same option within the Attendance 3.0 module. I think other clubs may take advantage of doing a follow up email (if they aren't already doing it manually like we are).

    It is rather interesting that you posted this here. I've heard from a few clubs in the last few weeks about this sort of functionality. I think its something worth considering and its something we'll keep in mind for future updates. Especially if we continue to see additional feedback looking for functionality like this.

    We try to post a "What happened at our last meeting" article on our newsletter. Followed immediately with "Get ready for this!" Describing the agenda for the upcoming meeting.

    I've also discovered "secretaries" for many of our members. I send Meeting reminders to these efficient ladies as well as the member. They make sure the dates are on the boss's calendar. This has been our best answer to attendance and engagement. Secretaries are listed as "others" and are easily tagged for email distribution. I include them in the email for dues invoices.
