Improvements Required for ClubRunner

    I am currently trying to set up ClubRunner for our club using NOVA.
    Some of the functionality either does not work, or other areas require editing as follows.
    I have mentioned some of these without a response so far, hence sending this.
    • In the committee area, when sending an email to the committee members using the email tab, the functionality of the previous version is there which is not an issue but needs updating to the NOVA version, however there is no ability to select an existing template. The work-around is to copy and paste a template and then send.
    • In addition to the point above, when sending the email, it seems to go through as I am terting it and received the test email on my phone, however the email sending circle just goes around and around and I need to back out of that area.
    • When sending an email in the general email area, the facility to advise all recipients of who else is receiving the emails is not there, so please make this functionality visible as it was in the previous version.
    • Is there an ability or can there be an ability to store documents that are only available to be accessed either by someone with a high level access or accessible with only their login?

    Hi Ken,

    I see you have some great questions, let me do my best to help get them addressed.

    Each email area within the system is its own type of emails, at this time the different email types do not share their templates at all. This is why there are no templates available for the committee emails, and why you are unable to use other templates. The committees module will be getting an overhaul in future updates to Nova, at which point the newer email interface will replace it. I am checking with the team what options we would have for committee email templates. I believe they would be shared by all committee email modules, if there is anything else you can share with me on this I would appreciate it!

    II attempted to replicate the issues you were running into on several of our test accounts and I was not successful. Can you please let me know if it is still persisting for you today? Does it happen to a specific committee or email, or all of them?

    This feature should be returning shortly, I will do my best to follow up and confirm once it is out.


    You can create a committee, and mark it as private. Once the committee is private, only members of the committee and club staff (50 or better), will be able to view or access items within it. This is the best way you can achieve some of this functionality today. Alternatively, you could also add a password directly to the document if the type of document supports it to add extra protection.

    I've shared all of your general feedback here with the team as well.

    1 I am unsure as to where to place a response to your response, so here it is under the original post. This issue is not related to committees but "documents". Can we please have an area in documents where club documents can be stored with privacy. With positions changing in a club over time and documents held by those members on their own computers when they hold/held those positions, there needs to be an area in ClubRunner documents such as signed applications, board minutes etc. where documents can be stored with privacy restrictions. If we are to use ClubRunner as a CRM Customer Relationship Management system as it should be used, the software need to accommodate all types of activities and documents in the one place.


    2 I did add privacy to a new committee and tried to save a PDF document there under a new folder, however the attachment "save" failed. I was not able to add further documents however as in other areas of the software that I have already mentioned, I fear that only one document would be able to be saved but unable to prove this.

    Thank you for following up.

    The documents module allows you to store documents accessible to everyone, public included, or just to members who can login. It does not feature additional access controls as of today. The option to work with the committees module is intended to be a workaround given that we do not have the exact feature set you are asking for today.

    You can achieve most of what you are looking for today, by creating a private committee. Private committees offer document storage, and the documents are only visible to the committee members themselves and any other users with appropriate access (access levels 50, 40, and 30).

    Did you give this another try ? I did try to save several files to private and public committees, both on public and internal test accounts and not seeing anything today. Just to be clear I believe that you did run into issues when saving your document, I am just unable to replicate your results at this time.

    If you are still having issues, please let me know and we can escalate this matter to a support ticket so we can continue to dig into specifics and help resolve this matter.
