Invoicing Members for Quarterly Dues - Email Template

    Exploring the Financial options to create/send entire membership invoices for quarterly dues, I have the following observations/questions:

    It appears "Batches" are the way to send invoices to entire club, and I've created a test batch with a test "order" ... but I have several questions related to the templates available to put the necessary info into the Invoice & associated email to the members:

    1) Which template is used BY DEFAULT to send invoices for dues? It appears that the EMAIL template used with my test invoice email is "Order HTML Template" that exists in "Financial Email Templates" rather than "Invoice [Dues]" which seemed to make more sense.

    2) Is it possible to choose which template to use? If so, where is that selection made? Same question for PDF invoice templates too.

    3) Is it possible to include "Mail Merge Fields" using the "Edit Email Template"? It seems like it should be ... there's a link with a +/- that says "Insert Mail Merge Fields" BUT there are no fields to actually insert. THIS IS TRUE OF EVERY TEMPLATE, EXISTING OR "NEW" ... No fields to insert are offered.

    The reason I'm looking for that is to make sure the Email sent to members has a link to PAY the invoice directly. The template "Invoice [Dues]" has the mail merge code "$INVOICE_PAY_NOW$" and I've edited the other template to include that (which worked) BUT I can't find any listing of mail merge fields that can be used beyond those listed in the templates already.

    Invoicing membership is a fundamental capability of ClubRunner ... it seems the functions in NOVA should be at least as capable as the prior version. Scott

    Doug, thank you for bumping this post, and everyone's patience with our delayed reply.

    It will use whichever template is assigned to the Invoice Message Template, which by default is just called "Invoice". Orders are a precursor to invoices, and not something we're working with a ton in Nova right now. So we send the invoice from the order, but not the order itself.

    Yes, from the Finance Home > Financial Settings. At the bottom of the page you should see Financial Notification settings, clicking edit will let you adjust which templates are used for each, including who they should come from.

    Due to some complexities under Nova, we are not easily able to expose a list of merge fields at this time. However, if there is anything specific you'd like to include, please let us know and the team will do their best to assist. If there are a specific list of items you'd like, we'd love to know that. This is an issue we are working on to improve for future updates, and looking forward to your feedback.

    As of today, the invoice templates should both have a link to pay and a statement about an outstanding balance, which I do not believe were present in June when you originally posted. We've been receiving lots of feedback for the Financial system in Nova, and doing our best to stay on top of it and improve the system.

    We did expand the functionality of the Nova financial systems, we now track GL accounts for better reporting, and we've expanded the ability to modify the templates. In Classic ClubRunner it was not possible for clubs to customize or control any of the previous Invoice/Dues outgoing messages, message templates, or pdf template. These are now all accessible, with the limitation that we have not exposed merge fields. We will continue to work hard to improve these screens to help meet your expectations.

    Just revisiting one key thing that still seems to be missing:

    Hi Scott,

    As I mentioned earlier, there are some limitations on being able to show a large array of merge fields, and this is something we're looking to improve.

    If you can confirm the specific details you want to add to the template, we'll review and do our best to assist with inserting those new merge fields so that they can be included. Introducing the merge fields for customers is something we're looking to do in future updates in Nova.

    Thanks - I guess the basic fields for creating a document you are sending to a member:

    Member Name fields
    Member Address fields
    Amount Due
    Invoice Amount
    "Click Here to Pay" button/link

    It's interesting that the Communication Module for creating emails has a full set of merge fields that can be inserted.
