The 2019 Council on Legislation updated the RI Club constitution to allow for Makeups to applied within 1 year of the makeup, as long as it is within the same Rotary Year. Clubrunner currently allows us to modify the date range for makeups, but does not allow any limits to mandate to only include the current rotary year. We are running into problems with the Auto apply process where it is pulling unused/ banked makeups from early last year. Our current option to prevent this is to delete the banked makeups from previous years, but that removes some record of extra participation by these members. The other option is to manually go through the makeups after auto applying each time and clean up those who violate the rules. Neither of which are ideal solutions. Ideally the Auto Apply Makeups process would take into account these RI rules, but I also understand everyone doesn't want it applied uniformally. My suggestion is as follows 1) Add a checkmark option to the Attendance Settings page to say "Do not apply banked makeups across Rotary years". 2) if that box is checked, Auto Apply makeups would ignore any banked makeups either before or after the active Rotary year for that meeting. That way, those who do not check the box will see no change in functionality, while those who chose to check it can automatically ensure the new RI standards are applied.
