Termination of Rotary Club

    Soon my Rotary Club will be handing in its charter soon I have a lot of stored information on file in particular under the Documents heading, newsletters, under Site Pages, Videos and photos.
    1. Can this be copied to a portable Hard Drive?
    2. If it is possible, I would like to be able to determine the size of the total files.
    3. In addition, would the data be able to be read easily?
    It is more for retaining Club History, after using ClubRunner since 2013 and our history dates back to 1969 it would be a shame to lose it now.
    hope it's possible without too much trouble.

    You can download the all of club’s ‘Documents’ uploaded to the ‘Private Documents’ list in the Member Area, using the ‘Download Documents’ section from this article:

    To download the club’s newsletters, site pages, and website stories, please open the newsletter, site page, or website story from the club’s public website on your preferred browser, then use the steps in these articles, depending on the browser, to download an .html file of the newsletter, site page, or website story:

    How to save a page using Google Chrome

    How to save a page using Microsoft Edge

    How to save a page using Firefox

    How to save a page using Safari

    For the club’s images uploaded to the ‘Image Library’, I have worked with the team to generate & upload a compressed file containing all of the club’s images to the club’s ‘Private Documents List' in the Member Area. You can download the compressed file with all of the images from your club’s 'Documents' list in the member area, using the first article linked in this post (Download Documents). The compressed file is titled "Image Library Export" in the Documents list from your club's Member Area.

    Documents, images and these .html files can be opened easily on any device with a browser, and the saved files can be moved to portable hard drive to take on-the-go.

    Please note, It would be difficult for our team to confirm the size of the resulting data exports, as it will depend on a number of factors, such as how many times the information is backed up, and what sort of file format the content is saved with.

    As an example, if the image library is 100 MB, but the club also saves every site page and custom page, you may have another 100 MB~ of duplicated images from all the individual pages downloaded and how they store that information.

    Thank you for the information.
    It has been most helpful, I have managed to use the file you created and copied all the data you listed to a spare HDD.
    I have come up with a nil result in an attempt to copy site , newsletters etc , my age and working with technology have come crashing down!
    The information that Google Chrome and Microsoft Edge have provided is beyond me.
    Thank you again for your prompt and helpful service, I will keep trying....

    To download an .html file for any of the club's public website pages, stories, or bulletins, please use these steps;

    1. Open the page, bulletin or story, from your club's public website: https://portal.clubrunner.ca/10174/

    a. For a bulletin, open the bulletin by clicking it's 'Name' from the 'Bulletins List' page: https://portal.clubrunner.ca/10174/Bulletins/
    b. For a site page or story, simply open the page, for example: https://portal.clubrunner.ca/10174/stories/pride-of-workmanship-award-night-nbsp-1-june-2015
    2. In your browser, click the 'Three Dots' icon in the top-right.

    3. In the browser options menu, hover-over the 'More Tools' section, then click 'Save' in your browser's options.

    Alternatively, for steps 2 and 3, if you are using a Windows device, you can press the keys 'Control/Ctrl' + 'S' on your keyboard at the same time to save the page. If you are using an Apple device, you would press the keys 'Command/Cmd' + 'S' to trigger this same browser 'Save' function.

    4. With the 'Save' popup open, select where the .html file should be saved on your device, then click the 'Save' button in the bottom-right of the popup.

    I hope this helps with saving the club's website pages, stories, and bulletins to your device!

    Thanks Omar, followed your link and worked ok. As soon as I downloaded a group of photos I ended up with a list that i don't follow.
    I have attached a snap of the files.
    I am using windows10
    If anyone can mess up things I can!

    Thank you for following up, and including the screenshot.

    I am not exactly certain where you had downloaded this file. This folder seems to be composed of number of different file types, including a .png file type, which are typically images.

    Please note, the 'Image Library Export' downloaded from your club's 'Documents' list, should include all of the club's image entered into the 'Image Library', as well as all of the photos entered into different 'Photo Albums'. I have double-checked, and do see all of the club's 'Photo Albums' are included in this 'Image Library Export' from the club's documents list.

    To continue, I have sent you an email from our help desk to further determine where you had downloaded this file, and how we can best assist further.

    When saving Site Pages with your browser, the browser's 'Save' function will only save the content for the current page (Subpage) that your browser is viewing. While working to back up Site Pages, I do suggest opening and saving each subpage with your browser.

    Does the member data including past members download in a similar format as documents too?

    I can confirm when downloading the club's member data, the file generated by the system is a .csv spreadsheet file. You can open .csv files with most spreadsheet software, like Microsoft Excel, and Google's Sheets.

    To download the club's member data, and include any fields in the member profiles in the spreadsheet, please use steps in this article on our Knowledgebase:

    When opening the Download Member Data page, by default all of the member profile fields should be selected in 'Step 1' on the page, including the first field, 'Membership Type'. As long as the filters in 'Step 2' for 'Member Type' is left to 'All' or, you select 'Only:' - 'Inactive (Former) Members', the club's past members will be included in the member data download.

    I have used this many times over the years and found it quite useful.
    As the club is closing before 30 June and my desire to retain as many important records I completely overlooked this feature.
    Some data for older members is not there anymore, however their names are which is ok.
    Luckily I have scanned all the annual reports and Board Minutes from when we first started.
    Financials as well for quite some years now.
    The few Rotarians that will be left are keen to keep these records. The majority are leaving Rotary altogether which is quite sad.
