Things that just stop me in my tracks

    Hi everyone,

    Barb here from NorCal. I'm the loosely named website information officer of our Rotary Club of Walnut Grove. When I'm working on the website, there are things I just wish ClubRunner could do as second nature. Today, I'm beginning a list:

    1. A template for Speakers- once a month I load up 4-5 weeks of Speakers, dates, and information. Did you read, once a month? That means all if forgotten in between. Where is a template with all the standard information we put on each weekly Speaker page???? Copy, Copy, paste - oops I forgot to change the information. Back and forth, copy, copy, change. on and on.

    2. Just finished filling in a Speaker page and this error page shows up: Comments must be less than 5000 characters. Come on....how many characters do I have??? How many characters do I have to remove??? Delete, Delete, oops too many or not enough. Back and forth, delete, delete, delete, etc. Worse, yet, which part of the Speakers Biography do I delete??? How much do I have to delete???? on and on. SO - I move it all to word to get a word count. Not even close to 5,000

    Hi Barb,

    I suspect each club does speakers their own way, and as such a template from our team might not be overly useful. Hopefully someone else can share any insights that they have. However, if you know that the club wants their speakers formatted a specific way, making your own template our guide and storing that in the club documents would be good. It will help the club keep processes documented!

    The character counter is checking all of the html and markup that will be used to display your speaker, not just the visible characters. If you're copying and pasting from other websites with lots of markup, or a document editor that also has a lot of markup, it may be bringing that into the editor.

    If you click on the source button, you should be able to see all of the underlying code that is taking you over the limits. When copying and pasting into your browser, you can normally use CTRL + SHIFT + V to paste without additional markup. This means you'll lose some formatting, but it will not bring over as much additional html which should make it easier to stay in the character counts.

    One suggestion I have for the Speakers list is to:
    1. Clarify that the information entered into the "Comments" field is really for publishing information about the upcoming speakers on the home page, events list, calendar (and anywhere else we post Speaker information) as a way to attract the members & public of upcoming topics.
    2. Create additional, separate, "behind-the-scenes" fields for the planning, organization, internal notes, and other information required for the facilitation of scheduling speakers & programs that you DON'T want the public to view.
    For example, the people responsible for arranging our weekly programs use the "Comments" field for their own personal notes about who lined the speaker up, who will introduce them, any restrictions such as dietary needs or disabilities, how long they have planned, etc. It really doesn't belong in the Speakers widget because users viewing the homepage don't need all that information. The problem is there's no where else within ClubRunner to keep that information. (Plus, we have 2 people organizing this, so ClubRunner is great for keeping all this information in one place, but no so great when it's meant as a web page placeholder).
